Our Terms & Service Overview

California Digitizing specializes in embroidery digitizing and vector art to clients across the globe. The aim is to achieve excellent outcomes while minimizing clients’ effort and having no complications at all. Here, you will find information on how our services are provided, and the policies you agree to upon engaging with our company.

We offer three subscription plans to suit your needs: BASIC, STANDARD, and PREMIUM. We also offer our Pay-As-You-Go plan for those who do not wish to commit to a monthly subscription.

Our flexible subscription plan includes general terms and conditions:

  • You can always switch to any plan of your choice depending on your current requirement.
  • Unused designs will not be used in the next month.
  • Any design not included in your package will be charged based on the price list.
  • Minor changes like color or format edits are included, but major changes count as a separate design.
  • Discontinue applies to subscription plans only.
  • Multiple discounts cannot be applied together unless approved by our team.
  • If you become inactive for a long time, your subscription may be automatically placed on hold.

We offer digitizing services to meet your embroidery and design requirements, including:

  • Embroidery Digitizing: Converting artwork into embroidery files used for production.
  • Vector Art Conversion: High-quality vector creation for printing and branding.
  • Custom Patches: Cutting and sewing embroidered patches per your requirements.
  • Specialized Techniques: 3D puff, appliqué, tiny letters, sequin, monograms, chenille, quilt, badge, cross-stitch, jacket back, left chest, cap designs.
  • Design Editing: Resizing, color changes, and format adjustments.

Design Digitizing

Our professional team converts your designs into accurate embroidery files compatible with all major machines. You must provide clear instructions and high-resolution artwork to ensure the best results.

If you missed any detail or need an addition, please contact us immediately before the design is completed.

Design Detail Accuracy Always Matters

Unclear or incomplete files may affect the final product. We are not responsible for such errors.

Recommended formats: JPG, PNG, AI, PDF.

Please include all necessary details such as thread colors and dimensions.

Design Limit

Each subscription includes a specific number of designs. Extra designs are charged at a per-design rate.

Minor edits are included. Major modifications may count as a separate design.

How to Submit a File and Receive Your Design

Step 1: Upload Your Design Use our website upload feature or send your artwork to [email protected].
Step 2: Provide Complete Details Include dimensions, thread colors, preferred format, and specific instructions.
Step 3: Design Digitization Our team processes your artwork and prepares it for production.
Step 4: Receive Your Completed Design We email your file or make it available for download. Let us know if changes are needed.

Quotes

Submit your design to receive a no-fee quote. Pricing may vary depending on complexity, size, and turnaround time. All costs are communicated upfront.

Payments

We accept PayPal, Stripe, and major credit/debit cards. Full payment is required after the design is completed-no upfront payment needed.

Refund Policy

Refunds are available under these conditions:

  • The last payment was made within the previous 7 days.
  • No designs were delivered during that period.

Refund Process

Refunds do not apply to issues caused by incomplete or incorrect customer submissions. If you have concerns, contact us within 7 days and we will address them promptly.

Order Delivery

Standard delivery: 6–8 hours.

Urgent delivery: 3–4 hours (additional fee).

Embroidery files are sent after payment. The production sheet is shared beforehand so you can preview stitch patterns, colors, and design dimensions.

Turnaround

Regular designs: 6–8 hours.

Urgent designs: 3–4 hours depending on complexity.

Design Editing

Resizing and format changes are free.

Large revisions may require a fee, communicated beforehand.

Double-check spelling and details before production. If something is wrong, notify us, we’ll fix it at no cost.

Multiple Sizes

Designs in multiple sizes may have extra charges. List all required sizes upfront.

Design Complexity

Complex patterns, high stitch counts, and large designs may require additional fees.

Changing Prices

Prices may change due to market conditions. Customers are notified 30 days in advance.

Limitation of Liability

Customers must submit accurate and complete artwork. We are not responsible for errors caused by unclear submissions.

We are not liable for delays caused by external factors.

Amendments to Terms

We may update these terms anytime. Continued use of our services implies acceptance.

Copyright and Ownership

Client Retains Ownership: All rights to your original artwork remain yours.

California Digitizing Rights: We may use digitized files in our portfolio unless you request otherwise.
